Reserving the entire course for a shot-gun start must stay within the following parameters:
Any damage done to the golf carts, golf course, or Eagle Creek Golf Club property is the outing’s responsibility. All customers driving golf carts must have a valid driver’s license. Eagle Creek Golf Club is not responsible for anyone under the age of 16 years old or without a valid driver’s license.
Your outing date will be tentatively reserved upon receipt of the Outing Request Form. All events must be confirmed by player count 7 days before and player pairings 3 days in advance of the outing date. The confirmed number of players that a group guarantees 7 days in advance is the number in which they will be charged for. If a group falls below the guarantee number on the day of the event, they will be charged our normal green fee and cart fee for the day to make up the difference. Also, if a group falls below the shot-gun requirements, they have the option of paying for the required number of players to keep a shot-gun start.
In order to run a smooth and organized tournament, it is required that a group turn in the number of outing players 7 days before the event and a complete pairings sheet no later than 3 days in advance. This will enable us the time to prepare the computerized scorecards and scoreboards.
A deposit of $100.00 is required for all groups up to 60 players and $250.00 for groups over 60 players. The deposit will be completely refunded if the event is cancelled in writing within 30 days of the outing date.
In the event inclement weather postpones or forces cancellation prior to the start of play, there will be no charge for golf. However, if a group fails to reschedule for another date, they will forfeit their deposit. If play has commenced and less than 18 holes were completed, then the charge will be half the outing rate. The golf professional and the outing chairperson will make all cancellation decisions.
Once we receive the outing request form back from a group, a contract will be sent out. A signed contract with the deposit must be returned to confirm your date. No dates will be held until the contract and deposit are returned.
Only signs with double prong wire or metal stakes will be placed on the golf course. No wooden stakes or stapling permitted.
Guests are expected to play within the USGA guidelines of golf, repair all ball marks, rake bunkers, replace fairway divots and leave the course in appropriate condition for following play. Additionally, we strive to provide a 4.5 hour golfing experience and expect the pace of play to run smoothly and fall into these time guidelines.
Under Indiana State Law, we cannot permit the importing of food, coolers, alcoholic or non-alcoholic beverages onto the premises. Non profit organizations may arrange to have non alcoholic beverages donated to our facility with the understanding that a $3.00 per person service charge will be applied for the handling and distribution of these beverages. If approved by Eagle Creek Golf Club non profit organizations who have food donated for their event will be charged $250.00 for each meal donated. All unused donated product becomes the property of Eagle Creek Golf Club. Management reserves the right to refuse alcoholic beverage service to any guest when it is felt that it is in the best interest of all parties. Eagle Creek Golf Club will not serve any alcoholic beverages to anyone under the age of 21 years of age. Identification is required. Alcoholic is not served before 11:00am on Sundays.
Any group using our catering service must confirm the number of people eating 3 days before the event. You will be charged for the number of people confirmed at this time. If there are any extra invitees for a catered function, they will be charged at the per person rate of all other attendees.
All room rental fees are waived with the purchase of your golf outing. If your group is a banquet event only room rental fees are subject to change.
The customer is responsible and shall reimburse the facility for any damage, loss or liability incurred by any guest during the length of the event. Tax - Each group will be subject to the appropriate tax for all goods and services unless there is proof of sales tax exemption. Necessary documentation must be presented to the facility to receive any exemptions.
Meal Tax - All catered groups are subject to a 8% restaurant tax.
Full payment of all charges incurred must be paid the day of the event. Eagle Creek Golf Club will supply a detailed invoice upon the conclusion of the outing. Payment may be in the form of cash, check, Mastercard or Visa, and if at all possible, made in one single payment.
Any late payments will incur charges of .5% every 7 days. The customer shall reimburse the facility for all legal and collection fees used to collect any charges after 30 days.
